TOM Enterprise uses artificial intelligence tools to support internal operations, content development, and workflow automation. This Addendum explains exactly how AI is used within TOM, what it is and is not authorized to do, and how those uses affect you as a client, applicant, or visitor. Transparency about AI is not optional at TOM — it is a core operational commitment.

Overview
This AI Disclaimer Addendum ("Addendum") is incorporated by reference into TOM Enterprise's Service Agreement and applies to all clients, applicants, cohort participants, and visitors who interact with TOM Enterprise ("TOM"), its website (tomenterprise.org), its programs, or any TOM representative — human or AI-assisted.
TOM uses AI tools deliberately and purposefully to extend the capacity of a small, founder-led nonprofit team. We believe in building with the best available tools — and we believe equally that how those tools are used matters. This Addendum is TOM's public record of that "how."
This Addendum is effective as of June 1, 2026 and supersedes any prior AI-related disclosures made by TOM. It should be read alongside TOM's Privacy Policy, Service Agreement, and Cookie Policy.
Plain-language summary: TOM uses AI tools to help with writing, automation, scheduling, and operations. AI does not coach clients, make enrollment or scholarship decisions, handle sensitive client data, or represent TOM in any binding way. Every AI-assisted output is reviewed by a human before it reaches a client. TOM's founder retains final authority over all decisions that affect you.
What AI Does at TOM
TOM uses AI tools in the following operational capacities. These uses are deliberate, bounded, and subject to human review at every stage.
What AI Does Not Do at TOM
The following functions are explicitly outside the scope of AI use at TOM. These boundaries exist to protect clients and to preserve the integrity of TOM's human-centered mission.
TOM's Internal AI Agents
TOM operates a set of named internal AI agents — each assigned to a specific functional domain within TOM's operations. These agents are AI-assisted operational roles, not autonomous systems. Each agent operates within defined boundaries and under the oversight of TOM's founder. They are named to make TOM's internal AI architecture transparent and legible to clients.
Handles routing, scheduling, task triage, and operational coordination. Eva is the internal orchestration layer — directing tasks to the right human or AI function and keeping TOM's operations organized.
Supports intake pre-processing, pipeline management, outreach sequencing, and discovery call preparation. Stan helps TOM maintain a structured, high-intent intake process without overwhelming the founder with administrative volume.
Supports blog content, onboarding suite development, program primers, syllabi, and educational writing. Penny helps TOM produce consistent, high-quality written content without requiring the founder to write everything from scratch.
Supports social media post drafting, caption frameworks, content calendar planning, and campaign copy. Sonny helps TOM maintain a consistent social media presence aligned with TOM's brand voice and mission.
Supports drafting of policies, terms, waivers, contracts, and compliance-related language. Linda helps TOM maintain clear, consistent, and legally-aware documentation — with the explicit understanding that AI-assisted legal language is always subject to human review and does not constitute legal advice.
Transparency on request: If you want to know which TOM agent or AI function was involved in any specific communication or deliverable you received, ask. TOM will tell you honestly and completely.
Client Data and AI
The protection of client information is a non-negotiable boundary in TOM's AI use. The following rules govern how client data intersects with AI tools at TOM:
- No PII in AI tools without consent. Personally identifiable information — including full names, email addresses, phone numbers, financial details, application responses, and sensitive business information — is not entered into third-party AI language models (such as ChatGPT, Claude, Gemini, or equivalent) without the client's explicit, informed consent obtained in advance.
- Anonymized data may be used. Aggregated, anonymized, or generalized information (such as general business stage, industry category, or program structure questions) may be used with AI tools to support content development and curriculum refinement without client consent, as no individual is identifiable from this data.
- Automated workflows handle operational data. TOM's n8n-based automation workflows process operational data — such as booking confirmations, email sequencing triggers, and CRM pipeline transitions — as part of routine operations. These workflows are rule-based and do not involve AI language model processing of sensitive client content.
- CRM data is not AI-processed without oversight. Client records in HubSpot (TOM's CRM) are managed by TOM's human team. AI tools may assist in drafting follow-up communications but do not autonomously access, modify, or export CRM data.
- Third-party AI tool privacy policies apply. Where AI tools process any TOM operational data, those tools' own privacy policies govern data handling. TOM uses AI platforms with commercially reasonable data protection commitments and does not use AI tools that train on inputted data without explicit opt-out.
If you have a specific concern about how your information may interact with any AI tool used by TOM, raise it before or during your engagement. TOM will clarify exactly what data is handled and how, and will accommodate reasonable requests to limit AI tool interaction with your specific information.
AI-Assisted Content
TOM uses AI tools to assist in the creation of content that clients and visitors encounter — including website copy, program materials, email communications, social media posts, and educational resources. The following disclosures apply:
Website Content
Portions of TOM's website — including service descriptions, program outlines, legal pages, and general informational content — may be drafted with AI assistance and refined by TOM's founder. AI-assisted web content is reviewed for accuracy, alignment with TOM's mission and voice, and factual correctness before publication. The founder is responsible for all published website content regardless of how it was drafted.
Program Materials
Cohort curriculum materials, workshop frameworks, primers, and educational resources may be developed with AI assistance. TOM's founder and any designated co-facilitators review these materials for quality, accuracy, and fit with TOM's program philosophy before use with clients. AI tools accelerate production — they do not replace TOM's pedagogical judgment.
Client Deliverables
Client-specific deliverables — brand strategy documents, business plans, voice guides, 90-day action plans, and similar outputs — may involve AI tools in the drafting phase. Every such deliverable is reviewed, substantially edited where necessary, and approved by TOM's founder before delivery to the client. The final deliverable represents TOM's human judgment applied to the client's specific situation — not a raw AI output.
Email Communications
TOM's automated email sequences — including enrollment confirmations, session reminders, and program onboarding emails — are written with AI assistance and reviewed by TOM's founder before deployment. Individual responses to client questions and concerns are written by TOM's human team, potentially with AI drafting assistance that is reviewed before sending.
Ask anytime: You may ask TOM at any point whether any specific communication, deliverable, or piece of content you received was AI-assisted. TOM will answer directly and without defensiveness.
AI and Coaching
TOM's core value proposition is human mentorship, coaching, and facilitation — delivered by qualified human facilitators who have direct experience in creative entrepreneurship, brand development, strategic planning, and financial literacy. AI does not replace this.
- All Sessions are human-facilitated. Discovery calls, coaching sessions, mentorship meetings, cohort group sessions, and Demo Day preparation calls are conducted by TOM's human facilitators. No Session is delivered by an AI chatbot, AI voice tool, or AI agent standing in for a human.
- AI may assist in Session preparation. TOM facilitators may use AI tools to prepare for Sessions — reviewing prior notes, generating frameworks or questions, or researching a client's industry — but this preparation is internal to TOM and not delivered to the client as a substitute for live facilitation.
- No AI co-facilitation without disclosure. If TOM ever experiments with AI-assisted facilitation tools in a client-facing context (for example, an AI note-taker or real-time prompting tool visible in a Session), TOM will disclose this clearly before the Session begins and will obtain the client's consent.
- The mentorship relationship is human. The relationship between a TOM founder-facilitator and a client is built on human judgment, lived experience, and genuine care for the client's success. This cannot be replicated by an AI system and TOM does not attempt to do so.
Human Authority
TOM's founder retains final authority and personal accountability for every decision that materially affects a client. This is not a formality — it is the operational principle that governs how AI is integrated into TOM's work. The following decisions are made exclusively by TOM's human founder and are not delegated to any AI system:
- Acceptance or rejection of cohort applications
- Scholarship and sliding scale rate determinations
- Approval of all client-facing deliverables
- Termination of any client engagement
- Responses to client complaints, grievances, or disputes
- Publication of any significant new content or policy
- Binding commitments to clients, partners, or funders
- Decisions that affect TOM's nonprofit mission, equity commitments, or community obligations
The buck stops with a human. If you ever feel that an AI-assisted process produced an outcome that was unfair, incorrect, or not representative of TOM's values, you have the right to request a human review. TOM will conduct that review and respond directly.
Your Rights
As a client, applicant, or visitor interacting with TOM, you have the following rights regarding AI use in your engagement:
- The right to ask. You may ask TOM at any time whether any communication, deliverable, decision, or content you received involved AI assistance. TOM will answer fully and honestly.
- The right to human review. If you believe any AI-assisted process or output produced an outcome that was incorrect, unfair, or inconsistent with TOM's stated values, you may request a human review. TOM will review the matter and respond in writing within five business days.
- The right to limit AI interaction with your data. You may request that TOM limit AI tool interaction with your specific information — for example, requesting that your application or client records not be processed through AI-assisted workflows. TOM will accommodate reasonable requests where operationally feasible.
- The right to clarity before commitment. If you have questions about how AI is used before you enroll or book, ask before you pay. TOM will provide a complete, honest answer to any pre-enrollment AI question.
- The right to opt out of portfolio use. Consistent with TOM's Service Agreement, if TOM's AI tools have assisted in creating content that references your engagement, you retain the right to opt out of such public reference within 30 days of program completion.
Our Commitments
TOM makes the following commitments regarding AI use — to clients, to applicants, and to the broader creative community TOM serves. These are not aspirational statements. They are operational standards that TOM holds itself to and that clients can hold TOM accountable for.
Addendum Updates
TOM will update this Addendum when TOM's AI use changes in any material way — including the addition of new AI tools, new AI agent functions, new automation workflows that affect client data, or significant changes to the boundaries described in this document.
When this Addendum is updated, the "Last Updated" date at the top of this page will be revised. For changes that materially affect active client engagements, TOM will notify enrolled clients via email with at least 14 days' notice before the changes take effect.
Continued enrollment or use of TOM's Services after the effective date of an update to this Addendum constitutes acceptance of the revised terms. If you have questions about any update, contact TOM before the effective date.
Version note: This is the initial version of TOM Enterprise's standalone AI Disclaimer Addendum, effective June 1, 2026. Prior to this date, TOM's AI disclosure was incorporated into Section 10 of the Service Agreement. This Addendum supersedes and expands that disclosure.

TOM Enterprise exists to equip creative entrepreneurs with the tools, knowledge, and support they need to build lasting legacies. AI accelerates TOM's ability to do that work at higher quality and with greater consistency. It does not replace the human judgment, care, and accountability that make TOM's work meaningful.
If AI ever gets in the way of that — if it produces something that misrepresents TOM's values, compromises a client's trust, or substitutes convenience for genuine service — TOM will correct it. That commitment is not contingent on what AI tools become capable of. It is a choice TOM makes about what kind of organization TOM is.
